Employee Can’t Log In to Paycircle? Troubleshooting Login & Access Issues
How to register, log in, and resolve employee access problems in the Paycircle portal.
Employees access their payslips, P60s, and pension letters via the Paycircle Employee Portal.
If an employee can’t log in, follow the troubleshooting steps below to confirm registration, verify credentials, or request a login reset.
📝 Registration & Setup
1️⃣ Employee registration

Each employee must register using a unique email address (personal email recommended).

A registration invite is sent to the employee on or before their first payday.

The employer is responsible for ensuring all employees are registered.
Proper registration supports audit trails for:

Payslip distribution

Auto-enrolment communications

Legal and compliance tracking
2️⃣ Access creation

During setup, the employee creates their Access Identity login via the invite link.

They set a username and password and must add a personal recovery email (to retain access even after leaving).

If not completed immediately, Paycircle automatically sends reminder emails until registration is complete.
🔐 Login Process
To access their portal, employees should visit:

Enter their registered email and password.

If they’ve forgotten their credentials, use:

“Forgot Password” to reset via email.
-
“Forgot Username” to recover their login name.
-
Payslips are automatically published to the portal on payday (usually by 9am).
📂 After Leaving Employment
Former employees retain access to the portal for up to 10 years after leaving.
They can still log in to download:

Payslips
-
P60s
-
P45s
Employers do not need to send documents manually — these remain available for self-service download.
🧰 Troubleshooting Login Issues
If an employee cannot log in or access their account, follow these checks:
1️⃣ Confirm the correct email address

Ensure the email in Paycircle matches the one they’re using.

Check for typos or outdated company emails.
2️⃣ Verify the correct login link

Employee login page: https://my.paycircle.co.uk/login
3️⃣ Check login credentials

Confirm correct username and password (and importantly ensure the same email is being used for both Paycircle and Access Identity)

If forgotten, use the recovery links on the login page.
4️⃣ Verify date of birth format

Ensure DOB is entered as DD/MM/YYYY.

If a mismatch error appears, verify the DOB stored in the system.
5️⃣ Multiple employer accounts

If the employee works for multiple employers using Paycircle, they must use a separate login for each company.
