Can't Log In to Paycircle? Troubleshooting Login Issues

Step-by-step solutions to resolve common Paycircle login problems

If you're experiencing login issues with Paycircle, the problem can usually be resolved by refreshing your browser, clearing your cache, or resetting your credentials. This guide walks you through the most effective troubleshooting steps to get you back into your account quickly.

Before You Begin: Important Account Information

⚠️ One Account Per User

It's essential that you only have one Paycircle account. Having multiple accounts can cause login conflicts and access issues.

If you have multiple Paycircle accounts, do not attempt to fix the issue yourself. Instead, please contact us here and we'll consolidate your accounts properly to prevent any loss of access.

Step-by-Step Troubleshooting

Try these solutions in order. Most login issues are resolved within the first few steps.

1. Perform a Hard Refresh

Your browser may be loading an outdated version of the login page. A hard refresh forces your browser to download the latest version.

  • Windows: Press CTRL + F5
  • Mac: Press CMD + SHIFT + R

This simple step resolves many login issues immediately.

2. Clear Your Browser Cache

Cached data can sometimes interfere with login processes. Clearing your cache removes stored data that might be causing conflicts.

How to clear your cache:

  • Go to your browser settings
  • Find "Clear browsing data" or "Clear cache"
  • Select cached images and files
  • Clear the data and restart your browser

3. Try a Different Browser or Device

Sometimes the issue is specific to one browser or device. Try logging in using:

  • A different web browser (Chrome, Firefox, Safari, Edge)
  • A different device (laptop, tablet, phone)
  • A different network connection

This helps identify whether the problem is device-specific or account-specific.

4. Log Out and Log Back In

If you're able to access Paycircle but experiencing issues, try logging out completely and then logging back in. This refreshes your session and can resolve authentication problems.

5. Restart Your Device

A complete device restart can resolve temporary technical issues that affect browser performance and login processes.

6. Try Incognito or Private Browsing Mode

Private browsing mode bypasses cached data and browser extensions that might interfere with login.

  • Chrome: Press CTRL + SHIFT + N (Windows) or CMD + SHIFT + N (Mac)
  • Firefox/Safari: Use Private Window mode

If you can log in successfully in private mode, the issue is likely related to cached data or browser extensions.

7. Type the URL Directly

Instead of clicking a saved link or bookmark, type the Paycircle URL directly into your browser:

https://payroll.paycircle.co.uk

Bookmarks and saved links can sometimes become outdated or corrupted.

8. Reset Your Username

If you're unsure of your username or it's not working, you can reset it through the Paycircle login page.

Look for the "Forgot Username" option on the login screen and follow the prompts.

9. Reset Your Password

If your password isn't working, reset it using the "Forgot Password" option on the login page.

You'll receive a reset link via email. Make sure to check your spam or junk folder if you don't see it immediately.

10. Check Your VPN Connection

If you're using a VPN (Virtual Private Network), it may interfere with Paycircle's login process.

Temporarily disable your VPN and try logging in again. Once logged in successfully, you can reconnect your VPN if needed.

Registering for Paycircle: Complete Step-by-Step Guide

⚠️ CRITICAL: You Must Complete BOTH Steps to Access Your Account

Many login issues occur because users register for Paycircle but don't complete the Access Identity account setup. Both steps are required for full access.

Step 1: Register for Paycircle

  1. You'll receive an invitation email from Paycircle
  2. Click the registration link in the email
  3. Enter your details and create your Paycircle registration
  4. Important: After completing Paycircle registration, you will be prompted to create an Access Identity account

Step 2: Create Your Access Identity Account (REQUIRED)

This step is mandatory - you cannot access Paycircle without it.

  1. When prompted "Would you like to create an Access Identity account?", you MUST select YES
  2. Follow the prompts to set up your Access Identity login
  3. Use the same email address you used for Paycircle registration
  4. Create your username
  5. Create your password (follow the security requirements shown)
  6. You'll receive a verification code via email
  7. Enter the verification code within 24 hours (the code expires after this time)
  8. Complete your Access Identity setup

If you registered for Paycircle but didn't create your Access Identity account, you won't be able to log in. You'll need to contact us here to have a new invitation sent so you can complete both steps properly.

Setting Up a New Paycircle Account (If We Send You a New Invitation)

If we need to send you a new invitation to Paycircle, please ensure you follow these important steps:

  1. Use the same email address for both Paycircle and Access Identity
  2. Set up your username when prompted
  3. Create your password following the security requirements
  4. Create your Access Identity account - you must select YES when prompted
  5. Enter the verification code sent to your email (expires after 24 hours)
  6. Use the email address that received the invitation throughout the setup process

Important: Each email address must be unique. You cannot use the same email for multiple Access Identity accounts. If you need access to both admin and employee portals, you'll need two separate email addresses.

Common Registration Mistakes to Avoid

Declining Access Identity Setup - If you say "no" when asked to create an Access Identity account, you won't be able to log in to Paycircle

Using Different Email Addresses - Use the same email for both Paycircle registration and Access Identity setup

Ignoring the Verification Code - You must enter the verification code within 24 hours or it will expire

Not Completing the Full Process - Both Paycircle registration AND Access Identity setup must be completed
